An asset management template is a simple document that helps provide structure for service organizations to track and organize their assets while managing the full lifecycle of each. The template should include information such as:

How to Use Our Asset Management Template 

Let’s walk through the process of getting started with your new asset management template. You’ve now downloaded your template and you’re ready to get started with putting information in. Let’s walk through an example to support the process of filling this out with your equipment.  

First, let’s input our critical asset information. This should include an internal tracking number such as an “item number”, name, description, and a few other data points that are relevant for tracking purposes.  

Now that we have captured the critical asset identification information we can progress to the purchase information. This is important so we understand the purchase date or beginning of the life of this new asset we’ve acquired as well as if this is under warranty (or not) and until when. Some may put more information about warranty type or a link to a document with the specific warranty information. That is completely up to your group and how you’d like to handle and track this information.  

We have an almost 3-year-old generator that is still under warranty – great! This will help us understand that in the next few months we’ll want to understand our warranty extension options through the OEM/Manufacturer which will allow us to offer up options to our customers.  

Continuing through the template, we will start to fill out the current status of the asset as well as the service information. This template will get you the basics captured around what the current maintenance schedule is for this particular asset, if there is one and when it was last serviced.  

With this asset being fairly new, the condition is great, especially with our regular maintenance that we are following for this particular asset. Capturing the latest service data is also critical as you look to ensure you are either keeping to your maintenance schedule or allowing you to offer a recommended service to your client to keep their asset running and operating properly.  

So a final piece of critical information is around the customer, who owns this device, where does it current reside, and who is the primary contact we can communicate with.
